The Assistant Business Office Manager is responsible for supporting the daily operations of the Business Office with a primary focus on managed care billing, collections, authorization tracking, and reimbursement processes. This position works closely with admissions, case management, therapy, nursing, and insurance providers to ensure accurate and timely billing, compliance with payer requirements, and appropriate reimbursement for services rendered.
The ideal candidate is organized, detail-oriented, knowledgeable in skilled nursing facility billing practices, and able to communicate effectively with residents, families, insurance companies, and facility staff.
Essential Duties and Responsibilities Managed Care Billing & Collections
- Prepare, review, and submit managed care claims accurately and timely.
- Monitor and track managed care authorizations, continued stay reviews, and payer updates.
- Verify insurance coverage, benefits, and eligibility for admissions and existing residents.
- Follow up on unpaid claims, denials, and aging accounts receivable.
- Communicate with managed care organizations regarding billing discrepancies, appeals, and payment issues.
- Maintain accurate documentation related to payer communications and authorization approvals.
- Work with interdisciplinary team members to ensure documentation supports billing requirements.
Accounts Receivable & Financial Operations
- Assist with maintaining accurate resident account records.
- Post payments and adjustments as needed.
- Review remittance advice and explanation of benefits (EOBs).
- Assist in resolving resident and family billing concerns professionally and timely.
- Support month-end accounts receivable processes and reporting.
- Help maintain compliance with Medicare, Medicaid, managed care, and facility billing policies.
